Specifically related to Anonymous Surveys

Everyone that has been invited to participate in the survey will receive an email from surveys@qlearsite.com. 

You can take the Survey on a computer or on a smart mobile at work or anywhere else, if you prefer. Just make sure you’re using an approved browser.

What happens when clicking on an anonymous survey URL link?

For anonymous surveys, your internal projects team will share a generic link with everyone to complete the survey. Clicking on that generic link will generate a unique ID URL link. Every new click on the generic link will generate a new unique ID URL link. This unique URL will now be your personal URL link to submit answers. Please only share the generic URL link and not the unique URL created on clicking on that link.

What happens if I have shared my anonymous unique URL link with another survey recipient?

If the survey recipient is using a different device to the one used to submit the survey previously they will not be able to view your answers. On clicking on the link a new survey link will be generated and they will be taken to the welcome page on the survey form.

I didn’t receive a survey invitation, what do I do?

First, check your junk mail for an email sent from surveys@qlearsite.com. If it’s not there, please contact your internal Project Team managing the survey to check whether you were included on the distribution.

Do I have to do the Survey all at once?

Yes you do. We are unable to save answers when it is an anonymous survey. However, the Qlearsite survey templates are designed to be quick to answer so it won’t take long to get through all the questions. 

Do I need to answer every question?

Survey questions are typically mandatory. The more feedback your organisation gets, the more informed their actions will be. This is your opportunity to make your voice heard and have a say in how your organisation should change and grow. The more answers provided help us build a complete picture of where we are today, and how we can be better tomorrow.

Why can I not review my survey answers?

Clicking on an anonymous survey link from an email generates a new personal unique link with an ID. Every single time you click on the generic link it will create a new unique URL ID. To be able to review your answers you need to ensure that you are accessing the exact same unique ID link when you submitted your survey. The review my answers button will only be visible for survey recipients that are using the exact same unique ID link on the same device and browser used to submit the survey answers.

Why am I able to see another recipient’s survey answers?

For anonymous surveys, a survey recipient will only be able to view your answers if they are using exactly the same device and browser and they have the unique ID generated link. Clicking on the generic link received via email or distributed by the survey projects team will generate a unique URL with an ID. If you share the generated ID URL link with other recipients and they are using the same device and browser to fill in the survey they will be able to view your survey answers. Please only share the generic link sent out not the ID generated link.


Specifically related to Confidential Surveys

Everyone that has been invited to participate in the survey will receive an email from surveys@qlearsite.com. In the email there will be a link that takes you to a secure, private site built individually for you. Please don’t share this personalised link with anyone else.

You can take the Survey on a computer or on a smart mobile at work or anywhere else, if you prefer. Just make sure you’re using an approved browser.

What if I also accidentally delete the reminder emails?

Contact Qlearsite Support here to request another copy of your personalised survey link. Remember, do not use anybody else’s personalised link. Your survey link is unique to you.

However, if you are unable to complete it in one go, you can save your answers so far by clicking ‘Next’ which saves your answers and takes you to the next section of the survey. After you close the browser or change the webpage, you can return to the survey by clicking on the personalised link that was sent to you, which will load latest version of the answers you saved. (Note: Exiting the survey before proceeding to the next section will not save your answers, so make sure do this before exiting).

Can I change my answers?

You can always review or change your answers, up until the survey has closed. If you have already submitted your survey but the survey has not officially closed yet, you can still change your answers. To do this, re-open the personalised survey link you were sent, make your changes, and press the ‘Next’ button to re-save your survey. This will overwrite the previous answers so only your new answers are analysed.

(Note: if you plan to return back to it later to complete it or change your answers, this must be done before the survey deadline. Any saved answers will be automatically sent to Qlearsite for analysis.)

Can I complete the survey from home?

Related to either Anonymous or Confidential Surveys

I returned to my survey and none of the results are there – what’s happened?

Don’t worry, as long as you pressed ‘Next’ before you exited, they are still in our system. Your survey answers are saved to the specific device and browser you originally completed them on, so if you have changed browsers or devices, the survey form won’t display your data. If you return to the original device and browser you used to complete the survey initially, you should see your answers.

Will any actions be taken after the results?

The Survey Project Team will be working with teams at your organisation to analyse and use the results to find opportunities to make improvements.

What will my manager see?

Managers won’t have any way to see your specific answers or views at any time – during the survey or after it closes or when results are released. They won’t get any information about individuals. Depending on how your organisation has set-up the survey, there can be rare situations where it will be possible to identify if an individual has participated but your opinion is always protected. 

Who can see the results?

Results will be saved to the Qlearsite database which cannot be accessed by anyone outside of Qlearsite.

What’s going to be done with the results?

The survey was designed so your organisation can identify ways to improve. If you’re asked for your feedback, then your employers are trying to do something with it. Results will be used to help them understand how they can improve the working experiences and maximise sustainable growth as a business.

Is it safe for me to say really how I feel?

Yes, absolutely. The survey is completely confidential and your answers are protected.

No individual survey answers will be seen by anyone at your organisation, so you can be assured that everyone has complete confidentiality. All the surveys go directly to us at Qlearsite, a completely independent and separate organisation. Qlearsite have been asked to help distribute and analyse this survey.

Nobody at your organisation will know if you take the Survey unless you tell them. Your organisation will only have access to a summary analysis for groups of people that make it impossible to identify individuals.

The survey may have a few open-ended questions. Your written comments are especially useful – they help explain all of your other answers – but please try not identify yourself or any individual with your comments so we can protect confidentiality.

Why are we doing this?

Your opinions matter. We want to hear from employees about their experiences at your organisation so that we can continue to evolve our culture and shape our working environment. This survey is a vital form of feedback that helps your organisation achieve their goals.

How long will it take?

It’s easy to complete and quite short; it shouldn’t take more than 10 minutes of your time.

What will be asked?

Questions that focus on how each of you think about the culture, processes, behaviors and talent at your organisation and how we might do better in each of these areas. Try your best to answer all of them from your viewpoint, every answer and each individual comment helps build the big picture.
